Pillar Compliance Intelligence

Compliance software for aesthetic clinics

Policies written once and never read again do not help anyone. Pillar Compliance Intelligence keeps your policies and SOPs versioned, gets them acknowledged by the people who follow them, tracks training, and produces an inspection pack on demand.

Who this page is for

  • Clinic owners preparing for local authority registration or an insurer review
  • Clinics whose policies live in a shared drive and are years out of date
  • Practices with staff who have never formally read the SOPs they work under
  • Clinics tracking training certificates and expiry dates in a spreadsheet
  • Anyone who has been asked for evidence and had to assemble it by hand

Why documentation becomes urgent

Compliance work is invisible until the day it is not. An inspection, an insurance renewal, an adverse event or a complaint all ask the same question: show me what was in place and who knew about it.

Versions matter more than documents

The question is rarely 'do you have a policy'. It is 'which version applied on the day of that treatment, and can you show it'.

Reading is the missing step

A policy no one has acknowledged is a document, not a control. Acknowledgement per person, per version, closes that gap.

Evidence is scattered

Certificates, contracts, risk assessments and training records sit in different places until someone asks for all of them at once.

What the compliance module does

Policy library with versions

Author policies and SOPs in the app or upload what you already have. Every save keeps the previous version with owner, review date and audit trail.

Staff acknowledgement

Ask your team to confirm they have read a specific version. Acknowledgements are recorded per person and cannot be edited after the fact.

Training register

Record qualifications, certificates and expiry dates for each staff member, so lapses surface before an insurer finds them.

Compliance scorecard and alerts

A dashboard showing overdue reviews, unacknowledged policies and expiring training, so the work is a short weekly task rather than an annual scramble.

Inspection pack export

Generate a single branded PDF pack covering your current policies, acknowledgements and training position for a visit or a renewal.

AI drafting assistant

Draft a first version or tighten wording of an existing policy. You remain the author and approve everything before it is published.

Questions to ask about compliance features

Document storage and compliance management are not the same thing. These questions separate them.

Aimed at UK aesthetic practice

The starting templates and categories reflect the documents UK aesthetic clinics are usually asked to produce. They are starting points you edit, not certified documents.

  • Infection control and clean clinic procedures
  • Sharps and clinical waste handling
  • Medicines management and prescription-only medicine SOPs
  • Adverse event and complaints procedures
  • Data protection, retention and subject access handling
  • Insurance, indemnity and training evidence in one library

How the work actually gets done

  1. 1

    Build the library

Upload existing documents, author the gaps, set an owner and a review date on each one.

  2. 2

    Get it acknowledged

Publish a version and ask the team to confirm they have read it. The dashboard shows who has not.

  3. 3

    Stay ready

Work the alerts each month, and export the inspection pack whenever an inspector, insurer or landlord asks.

Pricing philosophy

Compliance is included with every paid plan. Charging extra for the documentation that keeps a clinic safe would be the wrong incentive.

£49 per month, pro plan

  • Unlimited policies, versions and acknowledgements
  • Training register and inspection pack included
  • AI drafting uses your monthly credits, which carry over
  • Documents are exportable if you leave

Questions clinics ask

Does using this make my clinic compliant?
No software can make a clinic compliant. It gives you a place to keep policies current, evidence that staff have read them, and a way to produce records quickly. The obligations remain yours.
Can I upload documents I already have?
Yes. PDFs, Word documents, certificates and images can be uploaded into the same library as documents authored in the app.
Who can see and edit compliance documents?
Access follows clinic roles. Admins manage the library, staff read and acknowledge, and nothing is visible to other clinics on the platform.
What is in the inspection pack?
A branded PDF assembled from your current policy versions, the acknowledgement position and training records held in the register at the time you export it.

Get your policies into one place

Start with the three documents you would be asked for first, then work the alerts from there.
