Pillar Insights
Understand what is happening in your clinic — and what to do next
Clinic reporting usually means exporting a booking list and rebuilding it in a spreadsheet once a quarter. Pillar Insights reads the live diary, till and clinical record, so the numbers you act on are the ones the clinic actually produced.
Who this page is for
- Owners who can see takings but not why they moved
- Clinics guessing at rebooking and retention rates
- Managers trying to work out which treatments are genuinely profitable
- Multi-practitioner clinics with no view of utilisation
- Anyone rebuilding the same spreadsheet every month
Why clinics outgrow spreadsheet reporting
A spreadsheet tells you what was taken. It rarely tells you whether clients came back, which practitioner had capacity, or which treatment carried its own cost.
Revenue without retention is a blind spot
A strong month built entirely on new clients looks the same as one built on a loyal base — until the pipeline slows.
Capacity is invisible
Without utilisation, a fully booked practitioner and a half-empty diary produce the same headline figure.
Cancellations are under-counted
Late cancellations and no-shows are the quietest cost in an aesthetics diary, and the easiest to leave out of a manual report.
What Pillar Insights reports today
These reports are shipped in the app and built from live clinic data. Nothing here describes planned analytics.
Revenue
Takings over time by period, with a payments breakdown across the methods you accept.
Appointments
Volume, completion and how the diary is filling across the period you select.
New versus returning
The split between first visits and repeat clients, so growth quality is visible.
Rebooking and retention
Whether clients leave with a next appointment, and whether they come back within their interval.
Average appointment value
What an appointment is worth on average, and how that moves as your service mix changes.
Cancellations and no-shows
Cancellation and no-show rates, so lost capacity is counted rather than assumed.
Practitioner utilisation
How much of each practitioner's available time is actually booked.
Treatment profitability and cohorts
Contribution by service, and cohort views of how client groups behave over time.
Questions to ask about any clinic reporting
Third-party product capability and pricing change over time. Ask these of any supplier, including us, and confirm the answers in a live demonstration rather than from a feature list.
| Question to ask | PillarClinic | What to check with the other vendor |
|---|---|---|
| Is reporting built from live clinical and payment data, or from a nightly export? | Reports read the live diary, till and clinical record in the same system. | Ask the vendor |
| Can you see retention and rebooking, not just revenue? | New versus returning, rebooking and retention are first-class reports. | Ask the vendor |
| Is practitioner utilisation measured against real availability? | Utilisation uses each practitioner's configured hours, breaks and time off. | Ask the vendor |
| Are cancellations and no-shows reported separately? | Both are tracked and reported as distinct outcomes. | Ask the vendor |
| Can figures be reported per site? | Cross-site reporting is available on the Clinic Group plan. | Ask the vendor |
| Can you export the underlying data? | Clinic data is exportable from the account. | Ask the vendor |
UK aesthetics considerations
Reporting in an aesthetics clinic touches clinical data, so access and retention matter as much as the numbers themselves.
- Reports are scoped to your clinic only — no cross-clinic benchmarking of your data
- Access follows staff roles, so commercial reporting is not open to every account
- Figures are GBP and reflect the payments you have actually taken
- Retention periods and audit trails apply to reporting data as well
- Reports are an operational view, not a financial statement or accounting record

Questions clinics ask
- Where do the numbers come from?
- From the live diary, the till and invoices, and the clinical record in your own clinic account. Nothing is estimated or benchmarked against other clinics.
- Can practitioners see clinic-wide financial reporting?
- Access follows staff roles. Commercial and governance reporting is restricted rather than open to every account.
- Does it report per site?
- Single-site reporting is on both plans. Cross-site reporting across multiple locations is part of the Clinic Group plan.
- Is this an accounting system?
- No. It is operational reporting for running the clinic. It is not a substitute for your accounts, and figures should not be treated as financial statements.
- Can I export the data?
- Yes. Clinic data can be exported from the account, and payment reporting can be reconciled against your own payment provider.
