For UK aesthetic clinics

Aesthetic clinic software for UK practitioners

PillarClinic is one system for the whole treatment journey — the booking, the consent, the treatment record, the prescription, the aftercare and the paperwork you need to show an inspector or insurer. It is built for aesthetics rather than adapted from a general salon diary.

Who this page is for

  • Independent injectors and nurse prescribers running a single room or clinic
  • Multi-practitioner aesthetic clinics with reception cover and shared diaries
  • Clinics moving off a spreadsheet, paper consent folder or a general salon booking tool
  • Practices that need clinical records and compliance paperwork in the same place as the diary
  • Clinic owners who want prescribing, batch traceability and aftercare recorded, not remembered

Why clinics look for something built for aesthetics

Most clinics start with whatever tool was nearest — a salon diary, a spreadsheet, a folder of signed forms. That works until the clinical side of the work starts to matter more than the appointment slot.

The record is spread out

Consent lives in a folder, photos live on a phone, the treatment note lives in a notebook and the batch number lives nowhere. Pulling one client's history together takes an afternoon.

Admin grows faster than the diary

Chasing forms before appointments, sending aftercare afterwards and rewriting the same policy documents each year quietly consumes clinic time.

Evidence is hard to produce

An insurer, an inspector or a complaint asks what was in force on a given day. That is a documentation question, and it needs versions and timestamps rather than memory.

What PillarClinic does

Every capability below is a shipped part of the product, not a roadmap item.

Diary and online booking

Practitioner hours, time off, rooms and equipment, a public booking page with deposits, and manual booking for phone and walk-in enquiries.

Client and treatment records

Treatment episodes, session notes, clinical photos, skin mapping and a full history on one client page — scoped to your clinic only.

Consent and intake forms

Treatment-specific templates sent automatically when the appointment is created, signed digitally and stored as a versioned PDF record.

Prescribing and traceability

A prescriber role, prescription-only medicine services, private prescriptions, and product batches deducted against the session that used them.

Aftercare and the patient journey

Aftercare sheets matched to the treatment, sent to the client, with a patient portal that shows their journey, documents and progress.

Compliance and audit trail

Policy library with versions, staff acknowledgement, a training register, an inspection pack export, plus retention periods and DSAR export.

A comparison framework you can reuse

Rather than trusting a feature grid written by a vendor, take these questions to every system you shortlist — including this one — and write the answers down side by side.

Built around UK aesthetics

The language, the workflow and the paperwork follow how UK aesthetic clinics actually run.

  • Prices, dates and phone formats in UK conventions
  • Prescription-only medicine handling with a separate prescriber role
  • Private prescriptions written and stored against the treatment episode
  • Policy and SOP templates written for aesthetic practice, not generic healthcare
  • Cooling-off, cancellation and no-show policies shown at the point of booking
  • Data retention periods and subject access export built in

One clinical workflow, start to finish

  1. 1

    Before the appointment

Client books online or by phone, pays a deposit, and receives the consent and intake forms for that specific treatment.

  2. 2

    In the room

Open the episode, review the signed forms, record the treatment with product batches, take photos and map what was treated.

  3. 3

    After the treatment

Aftercare goes out automatically, the invoice is raised, and the record — notes, photos, consent, prescription — sits in one place for review or recall.

Pricing philosophy

One plan, every module. We would rather clinics use consent, compliance and prescribing properly than lock them behind a higher tier.

£49 per month, pro plan

  • No per-module upsells for clinical safety features
  • AI credits included each month and carried over when unused
  • Group plan for multi-site clinics
  • No setup fee, and your data is exportable

Questions clinics ask

Is PillarClinic suitable for a solo injector?
Yes. A single practitioner can run the diary, consent, records, prescribing and aftercare on the Pro plan without adding staff accounts.
Can I move my existing client list across?
Yes. The Migration Centre imports clients and appointments from a CSV export, with column mapping, validation and a per-row result log before anything is written.
Where is clinic data stored and who can see it?
Each clinic's records are isolated from every other clinic on the platform, enforced by database-level access rules rather than interface checks alone. Access within your clinic is controlled by role.
Does it replace my card payments?
It works alongside them. There is a till with card reader support, payment links and invoices, connected to your own Stripe account so payouts go to you.
